based in New South Wales, Australia. This policy explains how we collect,
use, and protect personal information when you use our AI phone answering
service.
2. Information We Collect
From business owners (our customers):
- Name, email address, mobile phone number
- Business name, trade type, service area
- Payment information (processed securely by Stripe — we do not store card numbers)
From callers (your customers):
- Phone number (provided by Twilio caller ID)
- Name, address, and job details as provided during the call
- Call audio recordings (when enabled)
- AI-generated call transcripts and lead summaries
3. How We Use Your Information
- Providing the Service: AI call answering, lead capture, SMS/email notifications to business owners
- Account management: authentication, billing, customer support
- Service improvement: analysing call data to improve AI accuracy (aggregated and de-identified where possible)
- Legal compliance: responding to lawful requests from authorities
4. Third-Party Services
We share data with the following providers, each bound by their own privacy policies:
- OpenAI — processes call audio for real-time AI conversation
- Twilio — telephony, SMS delivery, and call recording
- Stripe — payment processing and subscription management
- Railway / hosting provider — application hosting and data storage
We do not sell your personal information to third parties.
5. Call Recordings
Calls may be recorded for quality assurance and dispute resolution. Callers
are informed at the start of each call. Recordings are stored securely and
retained for up to 90 days unless required longer for an active dispute.
Business owners can access recordings through their dashboard.
6. Data Retention
- Active accounts: data is retained for the life of the account plus 30 days after cancellation.
- Call recordings: retained for up to 90 days.
- Billing records: retained for 7 years as required by Australian tax law.
7. Data Security
We use industry-standard security measures including encrypted connections
(TLS), hashed passwords, webhook signature verification, and access controls.
Despite our efforts, no system is perfectly secure — we encourage you to use
strong passwords and keep your credentials private.
8. Your Rights
Under the Australian Privacy Act 1988, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your data (subject to legal retention requirements)
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)
